Sample Letter to Venue Owner/Manager

<Date>

Dear ———,

I am currently organizing a Science Café and am interested in holding it at <name of venue>. As you may know, Science Cafés are informal gatherings where people, with and without science backgrounds, get together to talk about interesting topics. Typically, they are free, open to all, and include light refreshments. For more about Science Cafés, visit sciencecafes.org.

We are particularly interested in reaching people who are typically usually not involved in science. We think your venue would be perfect for our Science Café because <add one or two reasons why>. Science Cafés not only help introduce people to a topic, but often get them out to a new and interesting venue. Similar events have attracted between 60 to and 100 people. We will promote our café locally, which will providinge you with free publicity, and as well as <increase/ (improve,/ add to> your venue’s reputation as a great place to meet.

The café I’m organizing will be <time/minutes/hour(s)> long. We expect to start with a short video, followed by a brief presentation by a local scientist or expert as well asand then a lively audience discussion. We would prefer <an early weekday evening or specific time> time slot, but can discuss these details further. Let us know if you are interested in hosting our Science Café.

Please don’t hesitate to contact me if you have any questions or concerns. I am very excited about this new venture, and look forward to talking with you at your earliest convenience.

Best regards,
